    Position Summary

    The person hired for this position will have the opportunity to promote inclusive excellence through collaboration with 15 universities committed to institutional transformation. This position is funded by Howard Hughes Medical Institute’s (HHMI) Inclusive Excellence initiative (IE3) through a learning community cluster (LCC6) of higher education institutions. The HHMI LCC6 Project Manager will be the operational administrator for LCC6, supporting collaboration, communication, formative assessment, and reporting among the institutions over the time of the grant. The Project Manager will coordinate this team of universities working on three interconnected projects related to improving the climate of inclusion in higher education. LCC6 projects are guided by one framing question: What would it take to empower institutions to develop systems that investigate, support, evaluate, and reward teaching and learning that centers diversity, equity, inclusion, justice, and access (DEIJA) Funded by HHMI for six years, the three projects are:

    • Evaluation of Diverse, Equitable, Inclusive, Just, and Accessible (DEIJA) Teaching and Learning,
    • Data-Informed Improvement of DEIJA Outcomes, and
    • Professional Development Projects for DEIJA Teaching and Learning.

    The Project Manager position has the potential for annual renewal for up to six years (as long as funding remains available), subject to regular evaluation. The Project Manager reports to the LCC6 Coordinating Committee and their immediate supervisor at National University.

    Essential Functions:

    Coordination and Communication among LLC 6 institutions

    • Compose and send out regular LCC-wide communications
    • Maintain a list of projects, committee, and whole LCC participation (and associated email lists)
    • Keep track of official communications from HHMI, including changes to guidance/instructions and information about meetings
    • Maintain frequent communication with LCC6 Coordinating Committee
    • Regularly report on progress to the Coordinating Committee and host-institution supervisor
    • Frame meeting plans and critical decision-making processes with and for the Coordinating Committee
    • Coordinate scheduling and develop agendas for project and LCC-wide meetings
    • Follow LCC6 Slack communications and act on requests/action items
    • Participate (ex officio) on each project and serve as a conduit for information between projects
    • Develop and maintain a Learning Community website with details on individual projects
    • Schedule and coordinate LCC-wide professional development training gatherings

    Administration

    • Keep track of all deadlines from HHMI, LCC6, and project groups
    • Handle logistics for virtual and in-person meetings
    • Maintain records of all meetings (taking, organizing, and sharing minutes of all meetings – LCC and project level); keep track of recordings and “chats"
    • Keep track of action items (what, who, by when) and send reminders when appropriate to ensure items are completed in a timely manner
    • Gather data for LCC annual report and/or other HHMI required reports; share common language for these reports and create first drafts for the LCC
    • Organize, maintain, and archive collaboration systems including Google drive for record keeping and resource sharing, Slack for asynchronous communication, and any additional collaboration platforms
    • Budget administration:
      • Assist with central fund management in association with the bank institution
      • Make sure LCC invoices are paid, and appropriate contracts are established
      • Facilitate individual institutions with budgetary changes through the HHMI Pathway System
    • Assist with LCC-wide assessment data collection

    Requirements:

    Minimum Education & Experience:

    • Bachelor’s degree with 5 years of project management experience OR Master’s Degree with 2 years of project management experience
    • Administrative experience involving the coordination of administrative tasks and communication for projects or initiatives
    • Demonstrated commitment to DEIJA initiatives

    Minimum Competencies/Technical/Functional Skills:

    • Highly proficient with oral communication
    • Highly proficient with written communication, both formal and informal
    • Demonstrated abilities in facilitation of groups and in consultation with individuals and teams
    • Proficiency working in an entirely virtual environment and experience using common virtual collaboration tools and software platforms
    • Ability to be flexible and adapt to changing objectives/strategies
    • Ability to work with and affirm contributions from a diverse group of people, without regard to race, gender, sexual identity, disability, etc.
    • Ability to work independently, identify tasks and projects, and develop a plan with limited day-to-day oversight

    Preferred Qualifications:

    • Master’s degree or other advanced degree
    • Experience in educational project management, planning, and administration (preferably in the higher education field)
    • Experience working on grant-funded projects
    • Experience working with STEM fields, higher education, or non-profit organizations
    • Experience with initiatives focused on diversity, equity, and inclusion

    Preferred Competencies:

    • Demonstrated ability to facilitate multi-institutional/organizational collaborative initiatives
    • Skills in not-for-profit organizational management

    Location: Remote

    Travel: Occasional travel to attend HHMI and LCC6 meetings.
