Use of AI Notetaking Tools Policy for SABER’s Virtual Events, Seminars, and MeetingsTo ensure the privacy, security, and integrity of SABER’s virtual events, the use of artificial intelligence (AI) notetaking tools, including but not limited to AI transcription, summarization, or meeting-recording assistants, is prohibited during all virtual events hosted by SABER. This policy applies to all attendees, presenters, volunteers, and staff. Participants are responsible for ensuring that they do not use such tools during sessions, discussions, or any portion of the event that involves live content sharing. This policy also applies to official SABER meetings. Committees may choose to incorporate AI notetaking tools for the purpose of recording minutes only if their use is approved by all committee members in advance. Any committee choosing to use these tools must include clear guidelines governing their use in the committee’s bylaws. The use of AI notetaking tools may compromise confidential information, intellectual property, or personal data shared during these events. Attendees are encouraged to take notes manually or use note-taking methods that comply with this policy. Exception for accessibility: The use of built-in live captioning features within the event platform (e.g., Zoom closed captioning) is permitted for accessibility purposes. This exception applies only to captions provided within the platform and does not allow the use of external AI notetaking, transcription, or recording tools. Failure to comply with this policy may result in removal from the event and/or restrictions on future participation.
